Introduction

At TeamTeacher, we take your privacy seriously. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

I. Information We Collect

A. Personal Information

When you create an account, we collect:

  • Email address
  • Name
  • Password (encrypted)
  • Profile information

B. Usage Data

We collect information about how you use our Service, including:

  • Conversations with AI agents
  • Documents you create
  • Usage patterns and preferences

C. Automatically Collected Information

We automatically collect certain technical information when you access our Service:

  • IP address
  • Browser type
  • Device information
  • Access times
  • Cookies and session tokens required for authentication
  • Product analytics events (via PostHog) including anonymized usage patterns, feature interactions, and aggregated user behavior

D. Non-Personal Information

We collect aggregated and anonymized data that does not directly identify you. This includes general usage statistics, feature adoption metrics, and platform performance data.

E. Children's Privacy

TeamTeacher is not directed at children under the age of 13 and we do not knowingly collect personal information from children. If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information promptly.

F. Teacher-Only Platform Statement

TeamTeacher is designed exclusively for teachers and educational professionals. Students do not have accounts on this platform and cannot submit any data to our Service. We do not collect, process, or store student records, student educational files, or any data directly submitted by students.

Because teachers may occasionally reference classroom examples when using our tools, we advise all users to anonymize student details before entering content into the platform. We provide tools to immediately delete any content that may have accidentally included identifiable student information. This teacher-only design is a core part of how we approach privacy. It simplifies your compliance obligations as an educator and allows us to make clear, unambiguous commitments about what data we do and do not hold.

II. How We Use Your Information

A. Personal Information

We use the Personal Information we collect to:

  • Provide and maintain our Service
  • Improve and personalize your experience
  • Communicate with you about updates and features
  • Ensure security and prevent fraud
  • Comply with legal obligations

B. Non-Personal Information

We use Non-Personal Information to:

  • Improve our Service and user experience
  • Analyze usage patterns and platform performance
  • Develop new features and capabilities
  • Enhance our technical infrastructure

We may share aggregated, non-identifiable usage data with analytics and infrastructure partners for the limited purposes of operating and improving our Service. These partners are bound by data processing agreements and are prohibited from using this information for any other purpose.

We do not sell, share, or otherwise disclose Non-Personal Information to advertisers, data brokers, or third parties for marketing, advertising, or commercial profiling purposes. This applies to both Personal and Non-Personal Information.

C. Artificial Intelligence Processing

TeamTeacher uses third-party AI providers to power our Service. We are committed to full transparency about how your content is handled by these providers.

Our AI providers:

Our commitments regarding AI processing:

  • We do not use your content to train AI models. Your prompts, lesson plans, and any other content you create on TeamTeacher are never used to train or fine-tune any AI model — by us or by our AI providers.
  • AI providers act as data processors only. They process your content solely to return a response to you, under contractual obligations that prohibit any other use.
  • Minimal data retention by AI providers. Our AI providers do not use your submitted content for any purpose other than returning a response to you. Providers may retain submitted content for a short period (typically up to 30 days) solely for safety monitoring and abuse prevention, after which it is deleted, except as required by law. This content is never used for model training.
  • AI interaction monitoring. We use a monitoring subprocessor (Langfuse) to log AI interactions for quality assurance, safety, and compliance purposes. These logs are stored in EU data centers and retained for up to one year, after which they are automatically deleted. Logs will be deleted sooner upon user request or account deletion.   • No AI processing of student PII. We advise teachers not to submit identifiable student information to our Service. If such information is accidentally submitted, it is subject to the same retention and deletion commitments described above.

III. Data Storage, Security, and Your Rights

A. Data Storage and Security

Your data is stored securely using industry-standard encryption. We use Supabase for authentication and data storage, which provides enterprise-grade security.

B. Data Retention

We retain your personal data for as long as your account is active or as needed to provide you with our Service. If you delete your account, we will delete or anonymize your personal data without undue delay (and in any event within 30 days), except where retention is required by law.

C. Your Privacy Rights

You have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Request deletion of your data
  • Export your data
  • Opt out of marketing communications
  • Object to processing of your data (GDPR Art. 21)
  • Lodge a complaint with your local data protection supervisory authority (GDPR Art. 77)

IV. Education-Specific Protections

A. FERPA Compliance (United States)

The Family Educational Rights and Privacy Act (FERPA) protects the privacy of student education records. FERPA applies to schools and districts that receive federal funding — not directly to software vendors like TeamTeacher. However, we take our responsibilities under FERPA seriously and have designed our platform to support your compliance obligations as an educator.

How FERPA applies to TeamTeacher:

Because TeamTeacher is a teacher-only platform — students cannot create accounts or submit data — we are not a system of student records and do not manage student educational files. Our FERPA commitments focus on three areas:

  1. Preventing unnecessary exposure of student PII. We advise teachers not to enter personally identifiable student information into our platform. Our tools are designed to work effectively with anonymized classroom examples.

  2. Handling accidental disclosures. If a teacher accidentally includes student information in content submitted to our Service, that teacher can delete it immediately from their account. Our deletion tools are designed for this purpose and are accessible at any time without requiring support intervention.

  3. Supporting school and district oversight. If a school or district administrator needs to report a potential student data concern, we will respond within 72 hours and work with the institution to address it. Schools may submit data-related concerns to privacy@teamteacher.ai.

Guidance for teachers:

  • Before entering classroom examples, substitute student names with generic identifiers (e.g., "Student A," "a 4th-grade student").
  • Do not enter student ID numbers, birthdates, grades, disciplinary records, or other education records into the platform.
  • If you accidentally include student information, delete the relevant content immediately from your account settings. Deletion takes effect promptly and is covered by our AI providers' data retention commitments (see Section II.C).
  • If your school or district requires a Data Processing Agreement (DPA) before authorizing use of TeamTeacher, contact us at privacy@teamteacher.ai to request one.

FERPA "school official" designation:

When a school or district has an active agreement with TeamTeacher, TeamTeacher may be designated as a "school official with a legitimate educational interest" under FERPA (34 CFR § 99.31(a)(1)). In this capacity, we use any education records solely for the purpose of providing our Service and in accordance with the terms of that agreement.

B. Global Education Privacy Compliance

We design our platform to support compliance with education-specific privacy regulations worldwide, including:

  • FERPA (United States) — see Section IV.A above
  • EU education privacy laws — including applicable GDPR requirements for educational data processors
  • Dutch education privacy requirements (Privacyconvenant) — schools operating under this framework may contact us for supporting documentation
  • UAE Personal Data Protection Law (PDPL) — schools and educators in the UAE and Gulf region may contact us for region-specific privacy documentation
  • International education privacy standards as applicable to our user base

C. Educational Data Safeguards

Regardless of jurisdiction, we maintain the following protections for all users:

  • No student accounts. Students cannot create accounts or submit data to TeamTeacher. See Section I.F.
  • No advertising use. We never use teacher or educational content for advertising, commercial profiling, or marketing purposes.
  • No data sale. We do not sell any user data to any third party, ever.
  • No model training. Your content is never used to train AI models. See Section II.C.
  • Anonymization tools. We provide built-in tools to help teachers remove or anonymize any content before it is stored.
  • Immediate deletion. Teachers can delete any content, at any time, without requiring support intervention.
  • Institutional support. Schools and districts may request a Data Processing Agreement, sub-processor list, or privacy documentation by contacting privacy@teamteacher.ai.
